Job Description

Purpose of the position

Provide high quality of secretarial services and administrative support to the Management (Chairman of the Board of Directors and Managing Directors) and assist the Corporate Secretary of the Bank.

Primary duties

* Organising and maintaining diaries updated, making appointments;
* Devising and maintaining office systems, including data management and filing;
* Arranging travel, visas, accommodation and, occasionally, travelling with the Management to take notes or dictation at meetings or to provide general assistance during presentations;
* Screening phone calls, enquiries and requests, and handling them when appropriate;
* Dealing with incoming emails, faxes and post, often corresponding on behalf of the management;
* Preparing travel insurance for the Managing Directors;
* Executing translations in written and oral form for the Management and the Bank’s staff members (English and French);
* Meeting and greeting visitors at all levels of seniority;
* Providing visa support to the Bank’s foreign visitors;
* Producing documents, briefing papers, reports and presentations;
* Organising and attending meetings and ensuring the Management is well prepared for meetings;
* Liaising with clients, suppliers and other staff;
* Carrying out specific projects and research.

Secondary duties

* Assisting in the preparation and distribution to the Board of Directors of meetings notices, agendas and materials in accordance with the Bank’s organizational documents and practices;
* Providing support to the Members of the Board of Directors when organising meetings;
* Assisting with drafting the Board of Directors meetings minutes;
* Coordinating communication with CSSF;
* Performing other duties as assigned.

Job Holder profile

* Degree in Secretarial area/Foreign Languages/Translation/Paralegal;
* 5 years’ experience in a PA position preferably in a Law Firm or a Consultancy Firm;
* Proficient in typewriting and good at English grammar;
* Excellent interpersonal and customer service skills;
* Must be tactful in dealing with people;
* Excellent communication skills;
* Discretion and good judgment ability;
* Organizational skills or management ability;
* Initiative and ability to operate independently;
* Able to work under pressure and changing environment;
* Flexibility;
* Fluency in English and French (Russian, German and Slovak would be an advantage);
* PC literacy. Good knowledge of Word, Excel, PowerPoint.
